Hawary AI operates on a transparent, milestone-based payment model designed to protect both parties throughout every engagement. There are no large upfront lump-sum payments and no open-ended hourly billing. Every dollar you invest corresponds to a concrete, measurable deliverable — and funds are only released when that deliverable is confirmed complete. This structure reflects Hawary AI's commitment to accountability, trust, and results-first partnerships.

Why Milestone-Based Payments?

Traditional agency billing falls into two flawed extremes: pay everything upfront (high risk for the client) or pay by the hour with no ceiling (unpredictable cost). Hawary AI rejects both. Milestone billing aligns incentives: the team is motivated to deliver quality work on schedule because payment depends on it, and clients are protected because no phase is paid until its outputs are verified.

This model has proven especially effective for AI automation and digital transformation projects, where scope can evolve and stakeholder approval at each stage is essential. You always know exactly where your investment stands and what it has produced.

The Four-Phase Payment Structure

Phase 1 — Discovery & Strategy (25% Deposit)

Paid at: Project kickoff, upon contract signing.

This initial deposit activates the engagement. During this phase, the Hawary AI team conducts a comprehensive needs assessment, audits your existing workflows, defines the solution architecture, maps integration requirements, and delivers a detailed implementation roadmap. Outputs include a signed Statement of Work, a technical scope document, and a go-live timeline. The discovery deposit ensures both parties are fully aligned before a single line of automation is written.

What you receive: Strategy document, technical architecture plan, timeline, KPI benchmarks, and integration map.

Phase 2 — Build & Configure (25% at Milestone Delivery)

Paid at: Delivery and client approval of the core build.

This is the heaviest technical phase. Hawary AI engineers build and configure your AI systems — whether that is an AI voice bot, a CRM automation stack, a federal proposal pipeline, a legal drafting agent, or a real estate analytics suite. The payment for this phase is triggered only upon successful delivery of the configured system to a staging or test environment, and only after client sign-off on the deliverables checklist established in Phase 1.

What you receive: Fully built and configured AI system in a test environment, integration connections live, workflow automations mapped and operational.

Phase 3 — Testing & Launch (25% at Go-Live)

Paid at: Confirmed system launch and go-live.

Before go-live, the system undergoes structured quality assurance: edge-case testing, performance benchmarking, user acceptance testing (UAT), and final refinements. Payment for this phase is due only when the system is live in your production environment and confirmed operational. No go-live confirmation = no Phase 3 payment.

What you receive: Live, production-ready system, go-live checklist, QA report, and user documentation or training materials.

Phase 4 — Optimization & Handover (25% at Project Completion)

Paid at: Full project completion and handover.

The final phase covers post-launch optimization: performance tuning, user feedback integration, workflow refinements, staff training, and the complete handover package — including documentation, admin access credentials, and a recorded walkthrough. This milestone is closed only when the client confirms they are fully operational and satisfied with the system.

What you receive: Optimized system, full documentation package, admin control handover, recorded training session, and a 30-day post-launch support window.

Payment Methods

Hawary AI accepts the following payment methods to accommodate clients globally:

Note: All cryptocurrency payments are converted at the prevailing rate at the time of invoice generation. Wallet address is provided on a per-invoice basis for security.

Currency Policy

• International clients: All pricing is denominated in USD (US Dollars).

• Egyptian clients: Invoicing is available in EGP (Egyptian Pounds) at the prevailing Central Bank of Egypt exchange rate on the invoice date.

• Multi-currency invoicing for enterprise clients is available upon request.

Monthly Retainer Options

Clients who require ongoing AI management, optimization, content generation, monitoring, or support can transition to a monthly retainer after project completion. Retainer tiers are customized based on:

• Volume of automation workflows active

• Number of AI agents under management

• Frequency of reporting and optimization cycles

• Level of dedicated account management

Retainer clients receive priority response times, proactive performance monitoring, and first access to new Hawary AI capabilities as they are released. Retainer billing is invoiced on the 1st of each month with Net 15 payment terms.

Refund Policy

Hawary AI operates a milestone-based refund policy. If a deliverable for any given phase is not completed or does not meet the agreed specifications:

• Full refund of that phase's payment is available upon written request within 14 days of the missed delivery date.

• Refunds for partially completed work are prorated based on the proportion of deliverables confirmed complete.

• Phases that have been fully delivered and accepted by the client are non-refundable.

• Discovery Phase refunds are available only if the project is cancelled before the strategy document is delivered.

This policy ensures you are never paying for work that was not done. All refund requests are processed within 10 business days.

Invoice Format & Payment Terms

• Payment Terms: Net 15 (payment due within 15 calendar days of invoice date)

• Invoice includes: Itemized deliverables, phase description, milestone completion confirmation, payment method details, and applicable taxes or fees

• Late payments: A 2% monthly fee applies to overdue invoices beyond Net 15

• Invoice currency: USD (or EGP for Egyptian clients)

• VAT/Tax: Egyptian VAT applied per local regulations for Egypt-based entities; international clients receive VAT-exempt invoices

Invoices are delivered via email in PDF format and countersigned digitally.
